For agencies and consultancies

The AI meeting notetaker built for agencies.

Generic notetakers treat every call the same. Agencies run many clients, many NDAs and many approval loops at once. RecapButler gives you multi-client workspaces and a client approval state machine, and nothing ships without sign-off.

Founding spots go to a first cohort of agencies.

The three ways agencies lose money after a call.

None of these are discipline problems. They are structural, and a notetaker built for individuals does not address any of them.

01

Decisions die between the call and the CRM

The scope change, the moved deadline, the task someone swore to own: they live in a notes doc until someone files them, which happens at 6 p.m., which often means never. By Friday the CRM says something different from what the client heard.

02

Multi-client confidentiality is an afterthought

Most notetakers pour every meeting into one searchable pool. When you hold NDAs with clients who compete with each other, one workspace where anyone can search everything is not a feature. It is a clause violation waiting for a query.

03

Client approval loops have no system of record

Draft presented, awaiting approval, revision requested, approved: the client dance happens in email threads and memory. When a client asks why an invoice covers a third revision, you reconstruct the story by hand.

How RecapButler maps to the agency workflow.

Every mechanism below exists because an agency, ours included, lost money without it.

Per-client workspaces

Each client is a separate workspace with its own meetings, decisions and deliverable states. Access is scoped per client, so the team on one account cannot browse another account's calls. NDAs stay intact by construction, not by policy.

Approver seats are free

You pay for recorder seats only, the people whose meetings get captured. Account leads who review suggestions, and clients who view recaps, are free in unlimited numbers. Approval is the point of the product, so we do not charge for it.

An audit trail for client disputes

Every write records what was proposed, who approved it and when. When a client questions a decision months later, you answer with the record, not with recollection.

A weekly client digest

One quiet page per client, weekly: decisions made, work shipped, approvals still on the table. Your client sees an agency that never drops a thread.

Built for agencies that sign NDAs, under GDPR and KVKK.

When you record a client call, you are processing your client's data and often their customers' data too. That makes your notetaker choice a compliance decision, not just a productivity one. RecapButler was built in the EU regulatory context from day one.

  • EU data residency: meeting content stays in EU hosting, built for GDPR and KVKK.
  • Capture is visible by design: RecapButler never records in secret, and the meeting bot, rolling out in early access, joins with a name and an avatar so participant notice is built in.
  • Your conversations are never used to train models.
  • On the roadmap: a zero-day retention option on the Agency plan, and self-hosting on Enterprise for teams whose clients demand it.

Agency questions, answered.

Can I keep each client's meetings fully separated?
Yes. Per-client workspaces are the core structure, not a filter. Meetings, decisions and deliverable states live inside the client they belong to, and access is scoped per workspace, so multi-client NDAs hold by construction.
Do account leads and clients need paid seats to approve or view?
No. Only recorder seats are paid: the people whose meetings RecapButler captures. Approvers and client viewers are free in unlimited numbers, on every plan.
Where does our client call data live?
In the EU, encrypted, built for GDPR and KVKK. On the roadmap: a zero-day retention option on the Agency plan, and self-hosting for Enterprise teams so transcripts never leave their own infrastructure.
What happens when a client disputes what was agreed on a call?
You open the audit trail. Every CRM update and task RecapButler wrote records the source meeting, the exact suggestion, who approved it and when. Disputes become lookups instead of arguments.
Will anything be written into our CRM without a human seeing it?
No. That is the defining rule of the product. Every suggestion arrives as a card that a human approves, edits or rejects. Nothing touches your systems without sign-off, and every write is traceable afterwards.

Run your next client call through it.
